Order Fulfillment Specialist

We are looking for people who are keen to try something new:

Reporting to the Order Fulfillment Manager, Vietnam. The Order Fulfillment Specialist is responsible for all administrative aspects of the company’s order processing and customer service activities. It involves taking orders directly from customer, raise purchase orders, control customs clearance, monitor inventory & invoicing.
- Order-to-Cash (O2C) process (key business supporting functions in Corporate Control Function, using de-fined IT platforms)
+ Creating and managing quotations to customers in CRM
+ Preparing online/ offline contracts
+ Generating and managing sales orders from CRM to ERP
+ Providing order confirmation to sales/service
+ Follow-up sales orders (new/aging) to ensure timely fulfilment of goods, services and information to customers
+ Invoicing of goods and services upon confirmation of delivery
+ Filling and managing required documents for tax/ audit/ legal purpose
- Purchase order management
+ Creating and issuing Purchase Orders to factories/ suppliers/ vendors
+ Monitoring open purchase orders/ inbound deliveries from factories/ suppliers/ vendors
+ Preparing payment request and follow -up payment to factories/ suppliers/ vendors
+ Coordinating finance and factory/ suppliers/ vendors in resolving invoice discrepancies
- Logistics management
+ Ensuring all customs clearance for purchase order are cleared and 100% compliance to regulations
+ Addressing daily logistics operational issues with service providers
+ Handling return goods process (exchange or defective parts) from customers; and to factories/ sup-pliers/ vendors
+ Functional understanding of transportation industry, customs regulation, etc.
- 3PL Warehouse management
+ Coordinating with warehouse/ 3PLs on shipment schedules/ deliveries to customers
+ Controlling Inventory and quality of Machine & Spare part
+ Controlling 3PL Warehouse operating daily (FIFO process, layout in 3PL Warehouse, etc.)
+ Involving in annual stock take and monthly reconciliation
- Sales/ service support activities
+ Planning and coordinating Service orders monthly with Service Engineers
+ Providing supports on tools purchase/ replacement/ calibration/ management
+ Providing supports on other required documents for business operation (reporting, tender, official cor-respondence in/out, etc.)
+ Working with other sales/ service admins in Zeiss Group for smoothly business operation
+ Involvement in required projects, audits by regulartory boards (both internal and external)
- Other duties
+ Supporting on SOP/WI development for local processes, establishing clear documentation of local process for logistics/ Order Fulfillment
+ Other duties and responsibilities as assigned by the management

Qualification:

Education
Bachelor’s degree in Business / Supply Chain or equivalent

Experience
- At least 2 years of experience in Sales/ Service administration
- Experience in Supply Chain/ Logistics/ Order Fulfilment, 3PL warehouse
- Have a knowledge about accountant plus point
Other skills
- Hands on experience with CRM/ERP (SAP) software and MS Office (MS Excel in particular)
- Meticulous, process-driven to ensure key processes are abiding to regulatory/ audit requirements
- Excellent organizational and multitasking skills
- A team player with high level of dedication
- Ability to work efficiently in pressurized environment with good work ethnic
- Good command of spoken and written English
